Who we are

Tiny Pine Haven is a small activewear label for Pilates, stretching and everyday movement. We handle the personal information described on this page ourselves, from our office at 146 Tanakachō Hondōri, Tokamachi, Niigata 948-0028, Japan. When this page says "we" or "us", it means Tiny Pine Haven. We have not appointed an outside company to run the shop on our behalf, and we do not sell personal information.

We handle personal information in line with Japan's Act on the Protection of Personal Information (個人情報の保護に関する法律, "APPI"). Our aim is simple: collect only what we need to answer you and to look after your order, say clearly what we do with it, and delete it when we no longer need it.

What we collect

We only receive information that you choose to send us. In practice that means three situations.

Contact form and email. If you use the form in the Contact section of our home page, we receive the name and email address you type in, plus the message you write. If you write to us directly, we receive your email address and whatever you tell us.

Telephone. If you call us, we may note your name, your phone number and what you asked, so that we can call you back or follow up in writing.

Orders. We do not run an online checkout. When you tell us which of our leggings, sports bra, tops, set or jumpsuit you would like, we need your name, the delivery address in Japan or abroad, a contact phone number or email address, and the item and size. We ask for payment details only at the point when we agree the order with you, and only through the payment method we confirm to you in writing. Please do not send card numbers by ordinary email or through the contact form.

We do not ask for sensitive information such as health details, and we ask you not to include it in messages. Body measurements that you give us so we can suggest a size are used for that purpose alone.

Why we use it (purposes of use, 利用目的)

We use personal information only for the following purposes and do not use it beyond them without asking you first:

1. To reply to your enquiry and to tell you about the items you ask about, including sizes, measurements and availability.

2. To prepare, confirm, deliver and take payment for an order, and to handle exchanges, returns and refunds under our Return & Refund Policy.

3. To contact you about a problem with an order or a delivery.

4. To keep the records that Japanese tax and commercial rules require us to keep.

5. To protect our site and our customers, for example when we need to look into misuse or an attempt at fraud.

6. To improve how we describe our items and answer questions, using your messages in a way that does not identify you.

We do not send marketing email unless you have asked us to. If you do ask for news from us, every message will tell you how to stop.

Sharing with third parties (第三者提供)

We do not provide your personal data to third parties without your consent, except in the situations below.

Delivery companies. To send an item to you we give the carrier your name, delivery address and phone number. They may use it only to deliver the parcel.

Payment providers. If you pay by a method such as card or bank transfer, the provider that processes it receives the information it needs to complete the payment. We tell you which method applies before you pay.

Email and hosting services. The services that carry our email and host this website process messages and technical logs on our behalf. We choose providers that keep this information confidential.

Legal requirements. We may disclose information when a law requires it, when a court, the police or another authority makes a lawful request, or when it is necessary to protect someone's life, body or property and getting your consent is not possible.

Business transfer. If Tiny Pine Haven were ever sold or merged, personal information needed to run the business could pass to the new owner, who would have to keep using it only for the purposes above.

Some of these providers keep servers outside Japan. When that happens we make sure the provider handles the data under protections comparable to APPI, or we tell you and ask for your consent beforehand.

How we keep information safe

We limit access to messages and order records to the people who need them to answer you. We use passwords on our email accounts, keep paper records such as delivery notes in a locked place at our office, and do not keep card numbers on this website because it does not process payments. If we use a contractor to help with email or hosting, we require them to keep the information secure.

No method of sending information over the internet is perfectly secure. If you prefer not to put details in an email, you can call us on +81257522281 instead.

How long we keep it

Enquiries that do not lead to an order are deleted after twelve months. Order records, including delivery details and the messages about the order, are kept for as long as needed to deal with returns and questions, and then for the period that tax and commercial rules require; we delete them when that period ends. Once we no longer need a record, we delete electronic copies and shred paper copies.

Your rights: disclosure, correction and deletion (開示請求)

You may ask us to tell you what personal data we hold about you, to correct it if it is wrong, to stop using it for a purpose you did not agree to, or to delete it. Write to Zeravimoon@gmail.com, call +81257522281, or post a letter to 146 Tanakachō Hondōri, Tokamachi, Niigata 948-0028, Japan. Please tell us your name and the email address or phone number you used with us, so that we can find your records and be sure that we are speaking to you.

We will confirm your identity, answer within a reasonable time, and normally do not charge for simple requests. If we cannot meet a request fully, for example because a law requires us to keep a record, we will explain why. If you are not satisfied with how we deal with your information, you can also contact the Personal Information Protection Commission of Japan.

Cookies and third-party services

Our Cookie Policy explains what the website stores on your device and which outside services load content when you open a page, such as the map on our contact section and the web fonts. Please read it together with this policy.

Children

Our site is meant for adults. If you are under 18, please ask a parent or guardian to contact us for you. If we learn that a child has sent us personal information without a parent's consent, we will delete it.

Changes to this policy

We may update this policy when our practices, our services or the law change. The date of the latest change appears on this page, and if a change affects how we use information you have already given us, we will ask for your consent again where the law requires it.
